Structural steel delivery works best when the dispatch plan follows the work plan. For orders supplied from Durgapur to sites across West Bengal and East India, clear lot schedules, receiving contacts and unloading arrangements reduce avoidable confusion. Transport should be planned with the purchase order, not left until the material is ready.
Match lots to the work sequence
Break the requirement into the sizes and quantities needed for each fabrication or erection stage. Sending every section at once may not suit the available storage space. Smaller phased lots can help some sites, but may change freight and handling costs. Agree the practical trade-off before confirming the supply schedule.
Identify each lot with an item list and required date. Keep drawing revisions and changes in one agreed schedule so the supplier and site team work from the same information. Changes to lengths or quantities can affect production, bundling and transport; communicate them early.
Provide a usable delivery address
Share the full site address, gate location, receiving person, contact number and access hours. Explain vehicle restrictions and any booking procedure. A locality name alone is insufficient for final dispatch. Confirm the details for every destination if material is going to multiple sites.
Confirm unloading responsibility
Long sections and heavy bundles need suitable equipment and a prepared unloading area. Agree who provides the equipment and receiving crew, and check that the vehicle can enter and leave safely. Share the planned bundle information with the site team so handling arrangements match the load.
Keep the dispatch records together
Agree which delivery notes, weight records and material documents will accompany each lot. Ask how bundle labels map to the order. Where batch traceability is required, keep identification intact after receipt and preserve the documents with the project records.
Inspect and reconcile on arrival
Check the delivered profiles, sizes and piece counts against the lot schedule. Review the weighment record and inspect visible condition before accepting the delivery under your agreed process. Record any discrepancy promptly with the relevant order and dispatch references. Do not wait until the material is mixed with other stock.
Prepare storage before the truck arrives
Provide suitable supports, keep material clear of standing water and separate the sizes needed for upcoming work. Protect identification labels and follow the project’s storage requirements. Good organisation at receipt helps the fabrication team find the right material and maintain records.
