Steel quality checks begin before the truck leaves the supplier's yard. A clear purchase order, an agreed inspection process and traceable documents help builders and fabricators receive what they specified. Visual appearance alone cannot confirm grade or mechanical properties, and a test certificate alone cannot confirm that every bundle is the correct material.

Write an inspectable purchase order

List the section designation, dimensions, grade, lengths and quantity. Include the project requirements for test documentation and identification. State who will approve substitutions or resolve discrepancies. An order described only as MS steel makes it harder to decide whether a dispatch is acceptable.

Agree the applicable material and dimensional specifications with the engineer. For structural sections, IS 2062 and IS 808 may be relevant to different parts of the specification. Confirm current editions, amendments and the standards actually required for the project [verify]. Do not assume that one standard number covers every acceptance check.

Request documents before dispatch

Ask for the packing list and the available mill test certificates while there is still time to review them. Compare the stated grade and product description with the purchase order. Check whether the certificate identifies the heat or batch and whether that identification can be linked to the material being supplied.

Review the reported chemistry and mechanical test results against the approved requirements. If the project calls for additional tests, certification or inspection, confirm that those requirements have been addressed. A certificate from an unrelated batch is not useful evidence for the current delivery.

Inspect the material itself

Check section shape and accessible dimensions using suitable measuring equipment. Compare lengths and the supplied quantity with the order. Look for visible bends, twists, damaged ends or other conditions that could affect fabrication. Record observations clearly, with photographs where helpful, instead of relying on a verbal complaint after unloading.

Dimensional tolerances, straightness limits and surface acceptance criteria must come from the applicable specification [verify]. Avoid inventing an acceptable percentage at the yard. If a measurement is outside an agreed limit, place that material on hold and seek a documented decision.

Reconcile weight and identification

Confirm how dispatch weight was measured and whether the record represents net material weight. Review bundle tags, batch references and the packing list together. If one vehicle carries several sizes, keep the size groups separate during unloading so a correct delivery does not become an unidentified mixed stack.

Weight checks can reveal a discrepancy, but they are not a substitute for checking grade or dimensions. Likewise, a bundle label does not resolve an obvious mismatch between the material and the description. Use the checks together.

Keep a receiving record

Assign a person to inspect the delivery before it enters the cutting or erection workflow. Record accepted quantities, material placed on hold and any damage observed during unloading. Link the receiving record to the order and test documents. Keep the supplier informed of discrepancies promptly and in writing.

Store accepted sections so their identification remains visible and they can be retrieved without unnecessary handling. Protect documentation from being separated from the lot. When material is cut into smaller pieces, maintain whatever traceability the project requires through fabrication.

A reliable quality process does not depend on one dramatic test. It depends on several ordinary checks being completed consistently, with a clear rule for stopping material that has not been accepted.
